Specialties
NetSuite for clinical research organizations
Study budgets, pass-through costs, investigator payments and milestone billing in one system, so every sponsor invoice ties back to the contract and the work actually done.
What we set up
We start from how your studies are contracted, staffed and billed, not from the module list.
Study and protocol accounting
Each study as a project with its budget, change orders and actuals, so burn against contract is visible while the study runs.
Milestone and unit billing
Sponsor invoicing by milestone, per-patient unit or time and materials, with revenue recognized to match under ASC 606.
Pass-through costs
Site payments, lab fees, travel and other pass-throughs captured against the study and billed with the backup sponsors ask for.
Investigator and site payments
Payables to sites and investigators tied to visits and milestones, with approvals and the audit trail sponsors and regulators expect.
Time and resource tracking
Timesheets by study and task that feed billing and utilization, so you know what each study costs in people.
CTMS and other systems
Integrations with your clinical trial management system, payroll and expense tools using Celigo, Boomi or Jitterbit.
How we deliver
Five phases, the same on every project, so you always know where things stand.
Kickstart
Planning
Goals, scope, timeline and who does what. We agree on what done looks like before anyone touches the system.
Blueprint
Design
How your processes will run in NetSuite: records, roles, workflows and the data that has to move.
Tailor
Build
Configuration, customization and integrations, built to the Blueprint and reviewed with your team as we go.
Validate
Testing
Your team runs real scenarios in a sandbox. We fix what does not fit before anything goes live.
Launch
Training and go-live
Role-based training, cutover and hands-on support through the first weeks.
CROs often go live on finance, study accounting and billing first, then add resource tracking and CTMS integration in the next stage.
Why CROs call us
A CRO runs dozens of studies at once, each with its own contract, budget and billing rules. When NetSuite is set up like a product company, finance ends up rebuilding study economics in spreadsheets every month.
We have set up NetSuite for research organizations and other life sciences companies, and the same consultants stay on after go-live.
Common questions
Can NetSuite track budget versus actual by study?
Yes. Each study runs as a project with its own budget, change orders and actuals, and reporting rolls up by sponsor, therapeutic area or site.
How do you handle pass-through costs?
We capture them against the study as they are incurred and set up billing so pass-throughs go out with the backup sponsors require, separate from fees.
Our NetSuite is live but study reporting still runs on spreadsheets. Can you fix it?
Yes. Much of our CRO work is moving study accounting, billing and site payments back into NetSuite after a setup that went live in a hurry.
